Our Admissions Policy
Section 1 – Purpose and Scope
Purpose
This policy is designed to ensure that the admission of students to Trinity Residential College is conducted in a manner that:
- is fair, consistent, equitable, and transparent;
- ensures that admitted students are enrolled at a relevant tertiary level education institution and course at time of arrival;
- is compliant with all state and federal legislative standards and regulatory frameworks, including the Education Services for Overseas Students Act 2000 (ESOS Act) and National Code.
Scope
This policy applies to the admission of all prospective students intending to reside at Trinity Residential College for a minimum of one semester. It does not apply to short-term group bookings or summer stays.
The requirements set out in this policy apply to all College staff as well as external providers who represent the College through partnerships and other arrangements.
This policy is provided in English only. If you do not understand any part of the application terms and conditions, it the responsibility of the reader to contact the College Admissions team.
Section 2 – Authority to Admit
The College Admissions Team has the authority to admit students to Trinity Residential College. All applications are reviewed in accordance with the Equal Opportunity Act 1995. Any staff involved in the administration and assessment of applications must declare any potential conflict of interest by notifying their Line Manager.
Section 3 – Term of Admission
Trinity Residential College provides student accommodation to both international and domestic tertiary education students. Where possible, the College aims to have an equal balance of domestic and international residents, as well as genders.
Tertiary Education Student
Admission into Trinity Residential College is conditional upon enrolment at a recognised tertiary education institution, such as a university or TAFE. Applicants are not required to have received a study offer at the time of College application. They will instead be required to provide a Certificate of Enrolment prior to arrival.
U18 International Students
The College accepts a limited number of under 18 international students each semester. The applicant must contact the College prior to applying and will only be considered if they turn 18 during the first semester of study.
The College does not accept students younger than 17.5 years of age at the commencement of the Accommodation Contract.
Standard Room
New residents are considered for a Standard Room only at the initial time of application.
Premium Rooms may be offered to new residents when returning resident demand is low. Priority is usually given to new commencing postgraduate students, with any remaining allocation offered on a random basis.
UWA Portal (CAP)
All new student applications (Semester or Academic Year in duration) must be submitted via the UWA Accommodation Applications Portal (often referred to as the Central Applications Portal ‘CAP’). This portal is managed by the University of Western Australia and subject to the universities policies and procedures.
All personal information will be handled in accordance with the College’s Privacy Policy.
Section 4 – UWA Portal
Occupancy Periods and Availability
Applications open approximately twelve (12) months ahead of the applicant’s arrival to College. For example, applications for February 2030 will open in February 2029.
Applicants have the option to apply for one of three (3) primary occupancy periods (or terms):
- Academic Year: February to November
- Semester 1: February to July
- Semester 2: July to November.
Available places for each occupancy period will vary each year and depend on multiple factors, including the number of current College residents who wish to return.
Applications for a single semester will only be considered if the applicant satisfies one of the following criteria:
- is commencing studies mid-year;
- is a Study Abroad or Exchange student;
- is a current resident with an approved Study Abroad or Exchange placement who wishes to renew for Semester 2 only; or
- is a returning or new student with only one semester of study remaining before graduation.
Applicants who do not meet these criteria may, at the College’s sole discretion, be considered for a full academic year placement.
Applicant Disclosure
Applicants are required to:
- provide the College with all necessary information required to assess and process the application;
- select the appropriate occupancy period for which the applicant wishes to be considered;
- required to rank a minimum of 3 (three) student accommodation providers (preferences) in preference order;
- pay a non-refundable Application/Registration Fee, charged and collected by the University of Western Australia, and accept associated terms and conditions;
- If under 18 years of age you must have consent of a parent or legal guardian at the time of application.
Accommodation Preferences
Once submitted the application is then automatically assigned to the accommodation provider with the first preference.
Accommodation providers with the second preference will only receive the application once the first preference has completed their assessment and decided not to admit. This process is then applied sequentially across all remaining preferences.
Subject to availability, applicants may adjust their preference order and/or request for their application to be passed on to the next preference prior to assessment.
Section 5 – College Admission
Assessment
Applications are processed as they are received, once allocation from the previous occupancy period has been exhausted. Where possible the College will assess applications on a first-come, first-served basis. However, at its sole discretion the College may prioritise applications where the applicant is from a partner school, or institution, or where an immediate member of the applicant’s family is a current or former resident.
The College also maintains a variety of external partnerships to drive brand awareness and occupancy. Where appropriate, these partnerships may include a room hold arrangement, where places are guaranteed for a nominated period, after which any rooms are released onto the external market.
Interview
Subject to availability and once the application has been formally assessed, the applicant will receive a formal Invitation to Interview via email. Failure to attend the interview may result in the application being rejected and passed onto the next preference.
Outcome
After the interview, if successful, the applicant will be awarded a place at the College via a Letter of Offer which must be accepted via the terms specified. The Letter of Offer is valid for occupancy of the applicant only (1 person).
If the Letter of Offer lapses, or if the outcome of the interview was unsuccessful, the application will be rejected and automatically passed onto the next preference. When Trinity Residential College is the last preference, the application will automatically be placed onto the Central Waitlist within the UWA Portal (CAP).
Accommodation Contract
Upon acceptance of the Letter of Offer a tentative booking will be created for the occupancy period specified. The applicant will then be required to accept an Accommodation Contract and all other associated documentation, including the College’s Code of Conduct, and pay the remaining upfront fees as specified in the Fee Summary. Once complete, the applicants booking is reserved and their place at College guaranteed.
Failure to complete the Accommodation Contract and/or pay the remaining upfront fees within a specified timeframe will result in the booking being cancelled and any pre-paid monies forfeited.
Renewals
Current College residents are given the opportunity to renew their stay via an internal re-application process. Returning residents are not required to re-apply via the UWA Portal (CAP) and will submit their renewal application via the College’s Resident Portal.
